Patient Participation Group (PPG) – Meeting Minutes

Date: 20 November 2025

Location: Hillview Medical Centre

Chair: Jess Collins – Deputy Practice Manager

 

1. Welcome & Introductions

Jess welcomed all attendees and introductions were made.

2. Practice Update

Nurse Team Updates

- Amanda joined the practice on 1 September as a Diabetes Nurse.

- Maisie joined on 17 November from community nursing. She brings significant experience in wound care and will receive further training to broaden her general practice skill set.

- Hilda will join the team on 1 December, specialising in diabetes and qualified as a prescriber.

Extended Access (EA) Clinics

- Hillview has provided EA Clinics jointly with Sunny Meed for the last few years.

- The model has now changed following patient feedback to improve continuity and simplify the process.

- New EA Clinic Arrangements:

 

  • Saturday: 9am–5pm (face-to-face) at Hillview Medical Centre

  • Monday, Tuesday, Wednesday: 8am–6pm (face-to-face) at Hillview Medical Centre

  • Thursday & Friday: 8am–6pm (telephone appointments)

3. Access & Appointments / Demand & AI Triage

Demand continues to grow and the practice is exploring ways to streamline processes. Initial feedback and usage trends were discussed, with plans to monitor effectiveness over the coming months.

AI Initiatives

- Hillview successfully bid for an NHS AI project with other local surgeries.

- AI registrations are already in place, feeding directly into the clinical system.

- From Monday, Hillview will launch the new AI triage system Anima, aimed at improving patient access, streamlining appointment allocation, and reducing wait times.

- Forms submitted online via the website will now route through Anima.

 

 

 

5. Health Promotion & Community Involvement

Flu & COVID Clinics

- Clinics are now nearly complete and have been very successful.

- Positive feedback was received, and vaccinations will continue for eligible patients until the end of the season.

 

WAF (Winter Access Fund) Appointments

- Additional NHS-funded appointments over winter.

- Held as pre-booked slots at Woking Community Hospital.

 

6. PPG Development

- Recruitment remains a priority.

- Discussion on electing a chairperson and the role of the PPG.

- Engagement ideas shared, using email marketing to help promote the PPG – this will be looked into.

 

7. Any Other Business (AOB)

- Positive feedback for new signage.

- Praise for the reception team for being friendly and helpful.

- Query raised about annual reviews for patients without long-term conditions—practice will look into potential funding.

- Update shared that the trustees of the Hillview Charity will close due to funding issues.

- Prescription query: the practice cannot send confirmation messages but prescriptions are processed within 48 hours.
